Scaling an unmanned gym without scaling the team behind it.

The gyms ran without staff. The digital side didn't. Registrations, onboarding and bookings were handled by people over a chat platform, and only about 10% of that work had any AI help. Every new branch meant more of it:

• Headcount grew with every branch.More locations meant more booking requests, and more staff hired to answer them.
• Costs threatened the model.Overhead rising in step with growth undercut the whole point of an unmanned business.
• People doing machine work.Staff spent their days as schedulers and data-entry clerks, answering the same registration questions instead of looking after members.

We rebuilt Grit Space's booking and registration workflows around AI agents that handle the whole member journey, from first enquiry and registration to booking and facility access.

We deliberately didn't aim for 100% automation. The agents handle around 80% of the work (standard registrations, scheduling and routine questions, around the clock), and clear escalation triggers pass the unusual cases to a small team, for the moments that need judgement or a human touch.
