Like many growing retail brands, MatchaDachi relied on an off-the-shelf point-of-sale system that dictated how they ran their business, instead of supporting the way they actually worked. That created a chain of bottlenecks:

• Data locked away.The POS kept their data in a rigid structure that couldn't be exported in detail or freely analysed, leaving store owners blind to underlying trends.
• A daily admin drain.Managers and staff cross-checked inventory by hand at the end of every day, hours that should have gone to customers, growth and their teams.
• Room for error.Without detailed data, that manual reconciliation was prone to mistakes that distorted their true stock levels.
• Running on gut feel.Restocking relied on intuition, not data, which meant missed sales and frequent stock-outs.
• Strategy on hold.Leadership couldn't plan with confidence, because they couldn't access or trust the numbers their POS gave them.

Rather than moving MatchaDachi onto yet another generic platform, we built a solution designed around their actual daily operations: a custom data pipeline and inventory management layer that bridges the gap between what their POS captures and what the business really needs.

With their data freed from the POS, the mechanical work of inventory tracking now runs on its own. The system does the maths; the team focuses on the matcha.
